The Head of Operations will report to the Chief Operations Officer and is bound all HR policies and guidelines as applicable to all employees of White Soul Group. He/She will be responsible for the overall management of the operations across all contracts. He/She will also provide operational leadership and management to ensure accurate operational controls, measurement, and reporting systems to support safe, effective and reliable operations as they conform to the requirements of our partners.

Operations

  • Oversee and ensure orderly, safe and satisfactory delivery of entire clients' consignments to clients' customers or depot facilities.
  • Ensure the availability of 95% of the company's vehicles for routing every day of the month at the time stipulated by the client. Drive efficient vehicle utilization and turnaround time (TAT).
  • Direct, coordinate and lead the operations team including drivers and fleet team for efficiency and delivery in line with the company's objectives.
  • Drive uniformity of operational standards. Eliminate losses, under deliveries, diesel theft, illegal haulage, non-compliances from drivers and operations personnel across all contracts.
  • Manage company costs by developing cost management processes, engendering a financially responsible culture, and introducing tactical initiatives to address theft and other losses.
  • Create and review journey management plans in conjunction with the safety team and ensure compliance with clients' contracts.
  • Enforce the conditions of the client contracts and KPIs to enable the company scale through during clients' audits.
  • Drive revenue generation by ensuring all trucks function optimally within their assigned contracts.
  • Drive full collation and prompt collection of revenue by ensuring accurate and timely collation and submission of all stipulated reports.
  • Drive driver recruitment, referring new and competent drivers for the employment.
  • Drive the efficiency of the operations team, drivers and client reps through expert leadership, communication coaching and discipline. Ensure full accountability across the operations.
  • Hold regular reviews and engagement with members of the operations team, while recommending training and improvement areas to HR.
  • Ensure all internal and clients' standard operating procedures are followed and updated
  • Submit relevant reports accurately and in a timely manner

Client/Stakeholder Relationship Management

  • Support the company in the management of relationships with clients and external stakeholders through a coordinated approach including attendance at meetings.
  • Liaise with the clients for profitable business, routes and reduced downtime.
  • Drive the company's operating capabilities to surpass customer satisfaction and retention, and company goals.
  • Liaise with clients to ensure that contracts for the use of the company's facilities achieve revenue targets.
  • Liaise with regulators to secure requisite permits and licenses, as well as achieve favorable contract negotiations (and concessions) on behalf of the company within the locations of operations.
  • Prepare monthly accurate performance reports for clients' review session, using key metrics.

Health & Safety

  • Work with the safety team to ensure that trucks that go to the client's plants for loading meet all stipulated clients' safety and regulatory requirements.
  • Ensure that all trucks are road worthy, and possess all relevant documentation as statutorily required.
  • Ensure all corrective actions arising from investigations, reviews, inspections, audits, etc are completed within the stated timescale.
  • Manage accidents and incidence recoveries, negotiate compensation for third party accident victims, all in the best interest of the company.

Diesel Management

  • Oversee proper and accurate allocations and use of diesel rations; maintain log and account for fuel/diesel and oil storage tanks
  • Oversee accurate diesel allocation, coordinate and vet requests for additional diesel in line with the approved SOP.

Maintenance Management

  • Liaise with the workshop manager to develop and implement a proactive, planned and structured approach to the maintenance of fleet vehicles, keeping within the designated budget and ensuring all vehicles used are fit for purpose
  • Liaise with the maintenance team on rescues and recoveries, ensuring prompt resolution/communication to clients on all highway breakdowns to avoid delays.
  • Communicate maintenance schedules or delays to clients in a timely manner and notify clients of changes in maintenance schedules
  • Any other tasks as assigned.

Requirements:

  • Minimum of Bachelor\'s degree in related field. Additional qualification is an added advantage.
  • Minimum of 10 years\' experience in logistics/fleet operations and a minimum of 5 years experience in managerial capacity
  • Must be tech savvy and familiar with logistics syatems and GPS monitoring software
  • Must be confident, communicate clearly
  • Leadership skills strongly required
  • Must be street smart
  • Ability to drive with a valid drivers license
  • Willing to travel on short notice
