Key Responsibilities
Mission 1: Contract Administration and Employee Lifecycle Management:
- Coordinate the timely preparation, processing, communication, and filing of employment contracts and contract amendments, ensuring compliance with organizational HR policies and procedures.
- Ensure all employee separation processes are completed in accordance with organizational procedures, including the accurate and timely preparation, recording, and filing of end-of-contract documentation.
- Conduct exit interviews for designated categories of staff and provide relevant feedback, analysis, and reports as required.
- Monitor and ensure that employee objectives and probation evaluation forms are completed, submitted, and filed within established deadlines.
Mission 2: Payroll and Employee Records Management:
- Maintain and regularly update the payroll database, ensuring all employee additions, changes, and separations are accurately reflected, supported by the appropriate documentation, and properly filed.
- Prepare and submit the finalized monthly payroll database to the HR Manager or designated authority within the required timelines.
- Ensure all timesheets and payslips are duly distributed, signed, tracked, and systematically filed for audit and record-keeping purposes.
- Liaise with the HR team in Abuja and the medical insurance provider to ensure employee information is updated promptly and accurately whenever changes occur.
Mission 3: Staff Onboarding, Induction, and Learning & Development:
- Support the implementation of a standardized staff induction and briefing program across the mission, ensuring all newly recruited employees receive the required orientation and onboarding support.
- Facilitate and coordinate staff training sessions on HR policies, procedures, and other relevant topics to promote awareness and compliance.
Mission 4: HR Advisory, Policy Implementation, and Employee Support:
- Support the effective implementation and consistent application of HR policies and procedures at the Base, providing guidance, advice, and support to employees and managers as required.
- Ensure the timely dissemination of HR communications, notices, policies, and updates to all staff.
- Proactively identify opportunities to strengthen HR practices and recommend improvements that enhance efficiency, compliance, and service delivery.
Mission 5: HR Reporting, Data Management, and Compliance:
- In collaboration with the HR team in Abuja, develop, maintain, and regularly update HR tracking tools, reports, and workforce statistics to support data-driven decision-making and compliance monitoring.
- Ensure all HR records and documentation are maintained accurately and confidentially in line with organizational standards and audit requirements.
Mission 6: Internal Communication and Employee Engagement:
- Oversee the maintenance and regular updating of Action Against Hunger communication boards to ensure accurate, relevant, and timely information is displayed for staff.
- Support initiatives that promote effective communication and employee engagement across the Base.
Mission 7: Administrative and Operational Support:
- Provide comprehensive administrative and operational support to the Base as required.
- Supervise and coordinate hotel and guesthouse accommodation arrangements for visitors and staff travelling to the Base.
- Initiate and follow up on procurement requests for office consumables and supplies, including stationery, refreshments, and other administrative materials, ensuring timely replenishment through the Logistics Department.

- Conduct all duties in a professional manner following ACF Nigeria mission staff regulations, ACF mandate and charter including promotion of gender equality
- Bachelor's Degree in Human Resources Management, Business Administration, Management, Social Sciences, or a related field; a Master's degree or relevant professional certification is an added advantage.
- Minimum of three (3) years of professional experience in Human Resources Administration or a related role.
- Good knowledge of labor laws, HR policies, procedures, and HR best practices.
- Experience using HRIS and payroll systems; knowledge of Homere payroll software is an asset.
- Strong proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Strong analytical, reporting, organizational, and problem-solving skills, with the ability to manage multiple priorities and maintain accurate HR records.
- Excellent communication and interpersonal skills, with the ability to build effective working relationships.
