Job Purpose

  • To implement the HR policy and procedures to achieve the organization's objectives in compliance with the law.

Key Responsibilities

  • Draft general HR correspondence for review and approval.
  • Coordinate recruitment activities, including shortlisting, interview scheduling, participation in interviews, and communication of interview outcomes.
  • Follow up on approvals of employment documentation and offer letters for selected candidates.
  • Track recruitment timelines and ensure timely completion of recruitment processes.
  • Conduct staff induction for relevant employee categories.
  • Prepare documentation for changes in employment terms, obtain relevant approvals, and advise Payroll accordingly.
  • Monitor employee probation periods, contract expiry dates, and prepare relevant documentation in good time.

  • Prepare HR reports, including HR statistics, disciplinary reports, training feedback and evaluation reports, and Works Council action trackers.
  • Coordinate training administration, including NITA applications, training memos, trainer bookings, LPO follow-ups, attendance records, certificates, evaluations, and internal training.
  • Issue pre-alerts on fixed-term contract expiry dates and coordinate timely renewals or terminations in good time.
  • Maintain and update departmental organograms as changes occur and at least monthly.
  • Ensure new employee files are opened promptly, properly maintained, and continuously updated with relevant documentation and correspondence.
  • Manage disciplinary processes for supervisory-level staff and below, including witness statements, show-cause notices, hearing coordination, minutes, outcome correspondence, and filing of disciplinary records.
  • Coordinate Works Council meetings and follow up on outstanding action points to closure.
  • Coordinate and follow up on document flow to and from supply chain sites, ensuring timely submission, tracking, and retrieval of required documentation.
