SOOB Law is looking to hire a highly skilled and experienced Executive Secretary who will provide high-level executive, administrative and secretarial support to Partners and other fee-earners within the firm to enable them to operate at optimum efficiency. The Executive Secretary's role goes beyond routine secretarial/administrative tasks as they need critical time management, problem-solving and analytical skills, an eye for detail, and the ability to function as a trusted partner with the Executives they support.

Responsibilities

  • Manage and maintain Partners' calendars, schedule meetings, appointments and court dates. Assist Partners in prioritizing their day, including meetings, appointments, correspondence, and other important tasks, ensuring they stay on schedule.
  • Provide cost-effective administrative and secretarial support to the partners and other fee-earners to enable them to operate at optimum efficiency.
  • Provide calendar management for Partners, including daily agendas and scheduling, ensuring accuracy and adherence to appropriate standards.
  • Prepare, proofread, and format correspondences, memos and legal documents.
  • Oversee the production of legal documents, coordinating with internal teams and external parties as necessary.
  • Screen and prioritize emails, calls, and other communications on behalf of Partners
  • Monitor deadlines and ensure the timely filing of legal documents, maintaining compliance with regulatory requirements and court procedures.
  • Track legal and billable activities and review invoices and payments to ensure timely processing.
  • Coordinate logistics for legal meetings, conferences, and events, preparing materials, arranging catering, and coordinating travel as needed.
  • Maintain an effective filing system for legal documents and correspondence.
  • Other tasks as assigned

Reporting Line:

The Executive Secretary will report to the Practice Manager.

Qualifications/Skills:

  • HND/Bachelor's degree in English, Business Administration, Secretarial Studies or a related field.
  • At least five (5) years of experience supporting senior level Executives in a corporate or legal environment.
  • Proficiency in all Microsoft Suite (Word, Excel, PowerPoint, Outlook)
  • Effective organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Strong attention to detail and a high degree of accuracy in all activities especially with legal documents and correspondences.
  • Exemplary professionalism and the ability to handle confidential information with the utmost discretion.
  • Calendar and Schedule Management for Partners/Counsel
  • Experience liaising with clients, counsel, Partners and external stakeholders professionally.
  • Familiarity with Case Management/document management systems (e.g. document filing , court deadline tracking).
  • A fast learner and excellent adaptive still

Requirements 4 to 5 years of proven experience providing secretarial or administrative support at senior management or executive levels. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Fast and accurate typing skills with exceptional command of business English and grammar. Impeccable discretion, high emotional intelligence, excellent communication and interpersonal skills, strong organizational abilities, and attention to detail.
