Storekeeper (medical Stock) At Medecins Sans Frontieres

Scope of Responsibilties and Accountabilties

• Receiving, storing, recording and issuing the central medical stock held in the MSF-OCG Abuja warehouse (medicines, medical consumables, laboratory items, medical equipment and cold chain products) to projects and departments.
• The storekeeper applies MSF Good Storage and Distribution Practices (GSDP) and the line manager's instructions, so that items reach projects on time, in good condition and fully documented.
• The medical team owns the stock; Supply manages it.
• Supervising materials and goods orders and dispatch in order to ensure its rational use.
• Receiving orders and deliveries, identifying and reporting potential discrepancies against cargo manifest or others. Stores materials in accordance with the system in force in order to ensure continuous availability.
• Updating and/or creating stock cards for all stock items immediately after reception of goods. Checking the received cold boxes and controlling the cold chain-monitoring card
• Storing materials in accordance with the system in force in order to ensure continuous availability, ensuring that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
• Monitoring the store temperature and ensuring Cold Chain items are stored in an adequate temperature. Keeping a special control of "sensitive" goods: numbers of lots, expiry dates, packaging and special storage conditions
• Preparing orders on time before sending goods, and packs (according to transport means) weights and labels freight with corresponding shipping number, destination, number of shipping units, way bill number, weight and mode of transport in accordance with the line manager's instructions
• In conjunction with the line manager, performing physical stock counts in accordance with the frequency previously defined. Following up stock levels with regards to alarms thresholds, stock out and expiry dates.
• Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse
• Assisting the line manager with preparation of the stock reports.

MSF Section/Context-Specific Accountabilities

• Receive medical goods against order and delivery documents, check quantity, batch, expiry and condition, and report any discrepancy at reception.
• Record every stock movement in UniField with a signed supporting document, including internal transfers and any loans or donations the line manager authorizes.
• Store and handle medical items, including the EPREP stock, to MSF Good Storage and Distribution Practices: quarantine, first-expiry first-out, temperature and cold chain monitoring, and controlled medicines kept under the medical team's responsibility.
• Report expiring, expired and damaged items to the line manager every month, and provide consumption data for AMC and order planning.
• Count stock to the inventory schedule and explain every discrepancy.
• Back up the other storekeeper during absences, in both the medical and logistics stores.
• Protect the stock: apply key and access control, release nothing without documents, never sign both "received by" and "controlled by" on one reception, and report any gift or pressure from suppliers or transporters.

Minimum Requirements

Education:

• Essential Diploma
• Desirable relevant Degrees / Diploma in pharmacy technology, supply chain or warehouse management (desirable).

Experience:

• At least one year as a storekeeper or in a similar warehouse role (essential).
• Work in a pharmaceutical or medical warehouse: batch and expiry control, cold chain, good distribution practice (desirable).
• NGO or MSF experience (desirable).

Languages:

• English.

Knowledge:

• Computer literacy: Basic Excel, Word and email (essential).
• UniField or another stock management software (desirable).
