Job Summary

  • The Project Management Assistant will support the planning, coordination, and implementation of the Post Abortion Care (PAC) Project.
  • This role ensures effective project management, monitoring, data collection, stakeholder engagement, and administrative support to strengthen access to quality, respectful, and comprehensive post abortion care services.

Key Responsibilities

  • Support tracking and monitoring of project workplans, deliverables, milestones, and implementation timelines.
  • Coordinate routine engagement with government stakeholders, including Ministries of Health, Primary Health Care Development Agencies, Hospital Management Boards, SWAp offices, and other relevant partners.
  • Support planning, coordination, and documentation of supportive supervision visits, monitoring activities, review meetings, and stakeholder engagements.
  • Compile, review, and consolidate weekly, monthly, quarterly, and annual programme reports from field teams and State Coordinators.
  • Maintain project trackers, activity monitoring tools, and documentation repositories to support effective implementation and reporting.
  • Support preparation of donor reports, presentations, briefing notes, concept notes, activity reports, and other programme documentation.
  • Follow up with field teams on implementation progress, reporting requirements, action points, and outstanding deliverables.
  • Support coordination of capacity building activities, trainings, workshops, and learning events, including participant engagement, documentation, and reporting.
  • Coordinate evidence collection and documentation of project achievements, best practices, lessons learned, success stories, and implementation challenges.
  • Support data review, validation, and quality assurance processes in collaboration with the MERL team.
  • Assist in organizing consortium meetings, stakeholder consultations, review meetings, and technical working group engagements.
  • Support implementation of project assessments, surveys, supportive supervision, data quality reviews, and implementation research activities.
  • Participate in routine monitoring of programme performance and contribute to identifying implementation bottlenecks and corrective actions.
  • Support budget tracking and activity expenditure monitoring to ensure activities are implemented within approved budgets.
  • Maintain regular communication with project staff, consultants, government stakeholders, and implementing partners to support effective programme coordination.
  • Support preparation and monitoring of activity workplans, travel plans, meeting schedules, and implementation calendars.

Qualifications and Experience

Education:

  • Bachelor's degree in Public Health, Project Management, Nursing, Social Sciences, or a related field.
  • Additional training in reproductive health, family planning, or maternal health is an advantage.

Experience:

  • 5 - 7 years of experience in project management or program support, preferably in reproductive or maternal health projects.
  • Experience working with NGOs, health facilities, or international organizations is desirable.
  • Familiarity with donor-funded projects and reporting requirements is a plus.

Skills and Competencies:

  • Strong organizational, communication, and coordination skills.
  • Knowledge of post abortion care and reproductive health services.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Ability to work effectively with diverse teams and stakeholders
