Job Summary

This position is responsible for managing the commercial and administrative aspects of projects. The main working tool is SAP R3. The position will work in a project organization where the rest of the project team is located in several places. Proactive approach, effective and timely communication with project managers, suppliers, customers, logistics companies and finance team at multiple locations will be key success factors.

We are currently looking for a Project Coordinator for Tetra Pak (Kenya) Ltd. The position will be based in Nairobi, Kenya and will report to the Projects Coordination Leader.

What you will do

  • 2+years of Sea Freight experience is essential for this role.
  • Preparing transport documentation.
  • Manage documentation flow. This includes bill of lading, packing lists, commercial invoices and certificates of origin and license.
  • Ship out of project cargo
  • Coordinate the collection/delivery process and manage this until the final destination
  • Experience dealing with both Imports and Exports is beneficial.
  • Knowledge of customs regulations would be desirable
  • Preparation of commercial documents, document legalization and management of Letter of Credits
  • Issue purchase orders and manage logistics to get the goods from the supplier to the end customer.
  • Creating Sales orders, invoices and other documents for the goods and services, required by local legislation.
  • Material movement and service receipts in SAP
  • Coordination with project team, market companies and with customers.
  • Supporting the Project Manager with project control
  • Managing and leading commercial aspects of the contract and project.
  • Understanding the business scenario and ensuring project requirements are met at all time
  • Ensure process compliance and month-end accounting activities for projects.

Background and purpose The ILO's M4I programme is supporting the development of inclusive labour market systems for refugees and vulnerable host communities in Kenya. In Kenya, M4I mainly targets the beauty and construction sectors within urban labour markets, including Nairobi, Mombasa, and Nakuru. Many urban refugees and other vulnerable workers are already active in the beauty and construction sectors, but often remain trapped in informal, low-income markets due to legal, social and geographic barriers. M4I aims to create commercially viable pathways for labour market participation through collaboration with digital labour platforms, private sector, sector associations, BDS providers, and refugee-serving organisations. M4I aims to go beyond traditional direct-delivery livelihoods approaches by enhancing inclusive market systems and creating commercially viable labourmarket pathways. The adaptation of the IYB is part of a larger effort to improve workforce readiness, service quality, entrepreneurship skills, and sustainable participation within evolving urban labour markets. The ILO’s SIYB programme is one of the world’s largest entrepreneurship and business management training initiatives globally. The Improve Your Business (IYB) component helps both existing and aspiring entrepreneurs strengthen practical business management systems through modular, participatory learning. The M4I intends to utilise and adapt the IYB to support refugees and vulnerable host community engaged in beauty and personal care services, construction and artisan work, platform-based labour markets, self-employment and other urban income-generation pathways linked to programme-supported market actors. Recognising the operational realities of platform economies and urban service markets, the programme requires context-specific adaptation of the IYB methodology to align with digital labour platform requirements and onboarding systems, customer trust and quality standards, opportunities to extend social protection, labour market integration, specific realities facing the target group. It aims to engage an ILO-certified SIYB Master Trainer to assist with the adaptation and phased implementation of IYB-based entrepreneurship training system under the M4I, involving implementing a full ToT cycle of IYB with selected partners. Scope of work The assignment is to support the adaptation, contextualisation, and phased rollout of ILO IYB-based entrepreneurship and business management training, tailored to the operational realities of platform-based labour markets, urban service sectors, and inclusive labour market integration pathways for refugees and vulnerable host communities. Job Overview PlayMatters 3.0 is the next phase of the IRC-led PlayMatters initiative, funded by the LEGO Foundation. With co-funding from the UBS Optimus Foundation, PlayMatters 3.0 incorporates a new component, Outcome 4 - Comprehensive Support to the Childcare Economy. Outcome 4 is led by IRC and will be delivered in Ethiopia and Uganda only. It is embedded within the existing PlayMatters programme management structure and leverages the IRC's country operations and partnerships in both countries. As a new component, Outcome 4 is launching an inception phase running until December 2026, with plans for a phased start of implementation activities beginning in January 2027. Rather than directly operating childcare services, IRC will serve as a systems integrator and ecosystem catalyst, connecting existing and emerging childcare providers to the financing instruments, technical support and policy frameworks they need to sustain and grow their services.IRC in-country staff are envisioned to provide the primary operational presence in both Ethiopia and Uganda, including direct coaching and regular monitoring visits to childcare providers. Outcome 4 is designed to contribute directly to the higher-order goal of the PlayMatters Theory of Change. Child development outcomes will be anchored in the Nurturing Care Framework (WHO/UNICEF/World Bank, 2018), with a focus on social-emotional learning, safety and security, responsive caregiving, and mental health and psychosocial support (MHPSS) dimensions particularly relevant to conflict-affected children in Ethiopia and Uganda. The Project Coordinator will be responsible for pushing forward all agreed Outcome 4 deliverables with the UBS Optimus Foundation, working in close collaboration with IRC/ PlayMatters country teams, the IRC Ethiopia and IRC Uganda technical coordinators for education and ERD, IRC ECD and ERD technical unit staff, and the technical partners supporting this component Geographic targeting within Ethiopia and Uganda will be guided by a clear set of selection criteria to be finalised during the inception phase, drawing on the landscape assessment and provider mapping. Monitoring, evaluation, accountability and learning Work with the IRC/ PlayMatters MEAL team to operationalise Outcome 4 indicators, including child development outcomes anchored in the Nurturing Care Framework: social-emotional learning, safety and security, responsive caregiving, and MHPSS. Oversee routine tracking of provider economic sustainability indicators, including operating cost coverage ratio, cash flow consistency and provider graduation rate. Coordinate documentation of evidence and learning to build the investment case for childcare and demonstrate provider viability beyond the grant period. Ensure safeguarding, child protection and accountability standards are applied consistently across all Outcome 4 activities, including partner-delivered work. Donor and stakeholder relations Coordinate with the International Philanthropy & Partnerships team to ensure that all feedback and requests for information from the UBS Optimus Foundation and LEGO Foundation are timely addressed. Contribute to donor reporting, ensuring narrative and financial reporting for Outcome 4 is accurate, evidence-based and submitted on time. Requirements The Project Coordinator, Childcare Economy will need to meet the requirements below: QUALIFICATIONS Bachelor's degree in education, early childhood development, international development, economics, business administration or a related field; a master’s degree is an advantage. At least 5 years of professional experience in project management, including large-scale, cross-functional, multi-location projects. Experience coordinating delivery across more than one country is strongly preferred. Demonstrated experience in education and/or early childhood development programming, ideally including work grounded in the Nurturing Care Framework or comparable ECD frameworks. Familiarity with the childcare economy, including childcare provider business models, childcare demand and market dynamics, provider financing, and the policy and regulatory environment for childcare provision. Understanding of financing instruments relevant to small providers for example results-based financing, blended finance, grant-to-loan pathways or small business development support and comfort working with operating costs, cash flow and cost coverage. Professional experience responding to complex humanitarian crises and/or post-conflict situations; experience in Ethiopia and/or Uganda is an added advantage. Experience managing and supporting partners, including consortium or multi-partner arrangements. Experience managing project budgets, tracking expenditure and maintaining accurate projections. Experience with training, coaching and staff or partner capacity building. Experience representing programmes to donors or clients, ideally including private foundations. Key Responsibilities Project coordination & tracking Maintain project plans, milestone trackers, and charters for ERP and TAP V2; flag slippage/dependencies early. Own the RAID log for both programs; follow up to closure. Support the ERP - V2 Technical Working Group with scheduling, pre-reads, follow-through. Coordinate UAT logistics, including scheduling, participants, and the defect log Coordinate training logistics, including scheduling, attendance, and materials Maintain document control for plans, specifications, sign-offs, and approvals Governance & meeting support Schedule/prepare agendas for SLT touchpoints, ERP/V2 Programme Committee, and external partner sessions.
