KEY RESPONSIBILITIES

Procurement Processing

  • Process approved purchase requisitions.
  • Verify procurement requirements and specifications.
  • Prepare Requests for Quotations (RFQs).
  • Obtain quotations from approved suppliers.
  • Conduct preliminary quotation evaluations.
  • Prepare comparative analyses to support procurement decisions.

Supplier Coordination

  • Liaise professionally with approved suppliers.
  • Monitor order confirmations and supplier commitments.
  • Follow up on agreed delivery schedules.
  • Resolve routine supplier issues and escalate significant concerns.
  • Maintain effective supplier relationships.

Purchase Order Administration

  • Prepare Purchase Orders for appropriate approval.
  • Monitor Purchase Order status from approval to delivery.
  • Ensure suppliers comply with agreed terms and timelines.
  • Coordinate authorised amendments where required.

Delivery Coordination

  • Coordinate supplier deliveries with Site Stores and Logistics.
  • Verify delivery documentation.
  • Follow up on delayed, incomplete or outstanding deliveries.
  • Monitor and report supplier delivery performance.

Procurement Documentation & Records

  • Maintain accurate and complete records of:
  • Purchase requisitions
  • Supplier quotations
  • Comparative analyses
  • Purchase Orders
  • Delivery notes
  • Supplier correspondence
  • Procurement activity reports

Compliance & Controls

  • Ensure procurement activities follow approved Company procedures.
  • Promote transparency, accountability and value for money.
  • Maintain confidentiality of procurement information.
  • Support internal and external procurement audits.

AUTHORITY & ACCOUNTABILITY

  • The Procurement Officer will be authorised to:
  • Request quotations from approved suppliers.
  • Coordinate procurement activities within approved procedures.
  • Follow up on supplier deliveries and commitments.
  • Make supplier recommendations based on approved evaluations.
  • Escalate procurement delays, risks and supplier performance concerns to the Head of Procurement.
  • The role does not have authority to independently approve procurement awards, execute contracts, appoint suppliers or make budget changes outside delegated authority.
