About the Role

  • Our client, a leading organisation in the manufacturing sector, is seeking to recruit a Plant Administrator to support the efficient administrative, financial, logistics, and operational activities at one of its manufacturing facilities.
  • Reporting to the Plant Manager, the successful candidate will coordinate product dispatch activities, manage driver allowances and fuel administration, maintain accurate financial records and reconciliations, support regulatory compliance, and ensure effective day-to-day site administration.

Key Responsibilities

  • Dispatch Coordination & Documentation
  • Coordinate product dispatch activities and ensure the availability of required dispatch documentation.
  • Process trip allowance and fuel requests for drivers.
  • Coordinate truck and driver allocations.
  • Ensure accurate and timely completion of delivery notes, weighbridge tickets, consignment documents, and other dispatch paperwork.
  • Maintain accurate records of product movements in the ERP system to support sales invoicing and inventory control.

Driver Allowances & Fuel Management

  • Process daily driver trip allowances based on approved routes and distances.
  • Manage fuel allocation requests and reconcile fuel consumption against completed trips.
  • Monitor fuel efficiency and investigate anomalies or excessive consumption.
  • Ensure timely and accurate processing of driver allowance payments.
  • Maintain comprehensive records of allowances and fuel disbursements.
  • Work with Finance and Logistics teams to resolve discrepancies and support cost-control measures.

Dispatch & Mileage Reporting

  • Prepare regular dispatch and mileage reports.
  • Reconcile dispatch reports from relevant systems and ensure variances are identified and resolved.
  • Maintain records relating to truck fuelling, mileage, and trip details.
  • Coordinate documentation requests to support logistics and finance reporting.
  • Ensure dispatch records are accurate, current, and audit-ready.

Financial Reporting, Reconciliation & Petty Cash

  • Prepare monthly reconciliations of plant balance sheet schedules.
  • Manage petty cash disbursements, reconciliations, and replenishment requests.
  • Maintain accurate cash counts and ensure the imprest system is properly managed.
  • Coordinate with the Chief Accountant and Plant Manager on financial reporting, approvals, and reconciliations.
  • Prepare payment requests and coordinate with Head Office for financial approvals.
  • Ensure financial documentation is complete, accurate, and audit-ready.

Regulatory & Statutory Compliance

  • Ensure timely fulfilment of plant statutory and regulatory requirements.
  • Maintain compliance documentation, permits, medical reports, and other relevant records.
  • Liaise with the Compliance function on statutory requirements.
  • Coordinate with external regulators regarding required documentation and permits.
  • Monitor compliance deadlines and ensure requirements are addressed within stipulated timelines.

Administration & General Worker Supervision

  • Manage the plant leave calendar and ensure adherence to approved leave schedules.
  • Coordinate correspondence between the plant and Head Office and ensure timely responses.
  • Supervise general and casual workers, including outsourced staff involved in housekeeping and site maintenance.
  • Ensure administrative actions are completed within agreed timelines.
  • Maintain overall site administrative compliance and operational efficiency.

Qualifications & Experience

  • Degree or Diploma in Business Administration, Accounting, Finance, Logistics, or a related field.
  • CPA certification is required.
  • Minimum 3 years' accounting experience, preferably within a manufacturing environment.
  • Experience in dispatch coordination, driver allowances, fuel administration, and logistics administration.
  • Experience working with SAP or other ERP systems is an advantage.
  • Experience with dispatch/accounting systems such as Soradius will be an added advantage.
  • Strong understanding of financial reconciliations, petty cash, documentation, and reporting.
