Job Summary

  • The Executive Assistant / Personal Assistant will provide high-level executive, administrative, analytical and coordination support to the CEO, ensuring effective management of the Executive's time, priorities, engagements, information and business activities.
  • The role requires a mature, highly organised, intelligent and proactive professional who can operate with a high degree of confidentiality, discretion and independence.

Responsibilities

The successful candidate will be expected to:

  • Act as a trusted and highly professional support to the C-Suite Executive.
  • Anticipate the Executive's needs and proactively manage priorities.
  • Maintain an effective interface between the Executive and internal/external stakeholders.
  • Coordinate executive meetings, appointments and engagements.
  • Prepare presentations, reports, correspondence and briefing documents.
  • Conduct research and provide relevant information to support decision-making.
  • Analyse data and prepare management information.
  • Track actions and ensure effective follow-through.
  • Coordinate travel and logistics.
  • Manage confidential information with discretion.
  • Support special projects and assignments.
  • Use Microsoft Office and AI tools effectively.
  • Represent the Executive Office professionally at all times.

Requirements

  • Bachelor's degree in Business Administration, Management, Economics, Finance, Accounting, Engineering, Social Sciences or another relevant discipline.
  • Minimum 5years' relevant professional experience.
  • Proven experience supporting a CEO, Managing Director, Executive Director, GMD, Board Executive or other C-Suite executive.
  • Demonstrable experience managing complex executive diaries and competing priorities.
  • Strong experience preparing PowerPoint presentations and management reports.
  • Strong Excel and data-analysis capability.
  • Experience coordinating high-level meetings and executive engagements.
  • Experience handling confidential and sensitive business information.
  • Strong business writing and professional communication experience.
  • Experience coordinating domestic and international travel.
  • Experience working in a fast-paced corporate environment.
  • Strong proficiency in Microsoft Office Suite, particularly:
  • Microsoft PowerPoint
  • Microsoft Excel
  • Microsoft Word
  • Microsoft Outlook
  • Microsoft Teams
  • Professional qualification in Administration, Management, Project Management, Business, Finance or a related discipline.
  • Training/certification in Executive Assistance, Business Analysis, Data Analytics or Digital/AI productivity tools.
