We are seeking a reliable, professional, highly organized, and serious-minded Medical Administrative Assistant to join our remote administrative team.

The successful candidate will serve as an important point of contact between patients, healthcare providers, pharmacies, insurance companies, and other healthcare stakeholders. This position requires excellent communication skills, strong attention to detail, dependability, and the ability to remain fully engaged and responsive throughout scheduled working hours.

Role Overview

The Medical Administrative Assistant will provide comprehensive administrative and patient-support services to Neuron Psychiatry's clinical and administrative teams.

This position is particularly suited to an individual who is dependable, organized, detail-oriented, professional, responsive, and comfortable communicating with patients and healthcare professionals.

The successful candidate must be able to work independently in a remote environment while maintaining a high level of professionalism, availability, responsiveness, and accountability.

Key Responsibilities

Patient Communication & Telephone Support

  • Handle incoming and outgoing calls professionally and efficiently.
  • Serve as an initial point of contact for patients and other callers.
  • Respond to patient questions and direct clinical questions to the appropriate provider when necessary.
  • Maintain excellent telephone etiquette at all times.
  • Document relevant communications accurately in the appropriate system.
  • Monitor designated communication channels throughout scheduled working hours.

Appointment Management

  • Schedule, confirm, reschedule, and cancel patient appointments.
  • Follow up with patients regarding upcoming appointments.
  • Monitor appointment schedules and identify scheduling conflicts.
  • Communicate appointment-related information to providers and clinical staff.
  • Assist in ensuring that patient appointments are properly coordinated and documented.

Medical Records & EHR Support

  • Enter and maintain accurate patient information in the Electronic Health Record (EHR).
  • Upload, organize, and maintain patient documents appropriately.
  • Assist with obtaining and organizing medical records and other patient documentation.
  • Ensure that administrative records are complete, accurate, and appropriately maintained.
  • Follow established procedures for handling confidential patient information.

Insurance & Administrative Support

  • Assist with insurance verification and related administrative processes.
  • Assist with prior authorization and insurance-related follow-up when required.
  • Follow up on outstanding administrative requests and documentation.
  • Assist with claims-related administrative tasks as assigned.
  • Communicate with pharmacies, insurance companies, laboratories, and other healthcare organizations when appropriate.
  • Maintain accurate documentation of insurance and administrative activities.

Administrative Communication

  • Monitor and respond promptly to emails and other organizational communication channels.
  • Draft professional correspondence and administrative communications.
  • Escalate urgent or clinically significant matters to the appropriate provider or supervisor.
  • Ensure that important communications are not overlooked or left unattended.

Team Coordination

  • Coordinate effectively with psychiatrists, nurse practitioners, clinical staff, administrative staff, and management.
  • Participate in staff meetings, training sessions, and periodic check-ins.
  • Follow established workflows, protocols, and administrative procedures.
  • Assist with special administrative projects as assigned.
  • Communicate proactively with supervisors regarding issues that may affect work responsibilities.

Confidentiality & Compliance

  • Maintain strict confidentiality of patient and organizational information.
  • Handle Protected Health Information (PHI) appropriately.
  • Follow HIPAA requirements and Neuron Psychiatry's confidentiality and security policies.
  • Maintain a professional and secure remote work environment.
  • Ensure that patient and company information is not disclosed or accessed improperly.

Qualifications & Requirements

The ideal candidate should have:

  • Excellent verbal and written communication skills.
  • Strong telephone etiquette and patient/customer service skills.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail and accuracy.
  • Ability to work independently with minimal supervision.
  • Ability to prioritize and manage multiple tasks in a fast-paced healthcare environment.
  • High level of professionalism, reliability, and accountability.
  • Previous experience in healthcare administration, medical office administration, or a similar role is an added advantage.
  • Experience working with Electronic Health Record (EHR) systems is preferred.
  • Proficiency with Microsoft Office, Google Workspace, email, and other digital communication tools.
  • Ability to learn and adapt quickly to new healthcare software and technology.
  • Reliable high-speed internet connection.
  • Reliable computer and phone equipment necessary to perform the position.
  • A quiet, professional, and suitable home working environment.
  • Ability to maintain confidentiality while working remotely.
  • Three (3) professional references.
  • Minimum of 2 - 3 years post-NYSC experience is an added advantage.

Preferred Candidate Profile

We are particularly interested in candidates who demonstrate:

  • Experience with medical scheduling, insurance verification, prior authorization, or medical records.
  • Previous experience working with healthcare providers or medical practices.
  • Familiarity with U.S. healthcare administrative processes is an advantage.
  • Excellent spoken and written English.
  • Strong computer literacy.
  • Ability to work during U.S. business/clinical hours.
  • Strong telephone and written communication skills.
  • A calm, courteous, and professional approach when dealing with patients.
  • Strong reliability and ability to remain consistently available during scheduled working hours.
  • Ability to work effectively without constant supervision.

Remote Work Expectations

Because this is a fully remote healthcare position, employees are expected to maintain a high level of professionalism, availability, and responsiveness throughout their scheduled working hours.

Employees must:

  • Be available and responsive throughout scheduled working hours.
  • Work from an appropriate, quiet, and professional workspace.
  • Be able to turn on and maintain their camera when requested or when the position requires video presence.
  • Maintain reliable internet, phone, and computer equipment necessary to perform the position.
  • Remain accessible through the designated communication channels during working hours.
  • Not routinely leave the workstation for extended periods without authorization.
  • Not use scheduled work hours to perform work for another employer or business.
  • Attend required meetings, training sessions, and supervisory check-ins.
  • Promptly notify management of any technical or other issue that may prevent them from performing their duties.
  • Maintain the confidentiality and security of all patient and company information while working remotely.

The Company may conduct periodic video meetings, check-ins, and other supervisory communications during scheduled work hours.

Undivided Professional Availability

We require your undivided professional availability during your scheduled work hours and do not permit simultaneous employment in another position or other personal activities during those hours.

Employees are expected to remain focused on their assigned responsibilities throughout their scheduled shift and must not engage in outside employment, business activities, or personal activities that interfere with their availability, responsiveness, productivity, or ability to perform their duties.

Work Schedule

Monday - Friday, with alternating Saturdays

The position may operate on one of the following schedules, depending on operational needs:

  • 7:00 PM - 4:00 AM Nigerian Time

or

  • 4:00 PM - 1:00 AM Nigerian Time
  • One-hour paid break included during the shift

Because this is a remote position supporting healthcare operations, applicants must be able to consistently work the assigned schedule and remain available and responsive throughout working hours.
