Job Summary

  • The Logistics Manager is responsible for planning, coordinating, and supervising the movement of materials, equipment, products, and personnel to ensure timely, cost-effective, and efficient logistics operations.

Key Responsibilities

Logistics Planning & Coordination:

  • Plan and coordinate daily logistics activities, deliveries, pickups, and dispatches.
  • Ensure materials, equipment, and supplies are delivered to the right location at the required time.
  • Coordinate logistics schedules and routes to optimize time, resources, and costs.

Fleet & Transport Management:

  • Coordinate the use, maintenance, and availability of company vehicles and logistics equipment.
  • Monitor vehicle movement, fuel consumption, servicing, repairs, and documentation.
  • Ensure drivers comply with company policies, safety requirements, and assigned schedules.

Inventory & Materials Movement:

  • Coordinate the movement and distribution of cleaning supplies, equipment, consumables, and other operational materials.
  • Work with the Operations and Procurement teams to ensure adequate availability of required materials.
  • Monitor stock movement and ensure proper documentation of items received, issued, and delivered.

Delivery & Distribution:

  • Supervise loading, dispatch, transportation, and delivery activities.
  • Ensure deliveries are properly documented and acknowledged by clients or receiving sites.
  • Track deliveries and promptly resolve delays, shortages, damages, or other logistics issues.

Team Supervision:

  • Supervise drivers, dispatch riders, loaders, and other logistics personnel.
  • Assign duties, monitor performance, and ensure compliance with operational procedures.
  • Support staff training and enforce accountability for company assets and materials.

Vendor & Third-Party Coordination:

  • Coordinate with transporters, vendors, suppliers, and other logistics service providers.
  • Monitor third-party service quality, cost, reliability, and compliance with agreed terms.
  • Support negotiation of competitive transportation and logistics rates where required.

Documentation & Reporting:

  • Maintain accurate records of deliveries, vehicle usage, fuel, maintenance, expenses, and logistics activities.
  • Prepare regular logistics reports and highlight operational issues, costs, and improvement opportunities.
  • Ensure all relevant waybills, delivery notes, receipts, vehicle documents, and other records are properly maintained.

Cost & Operational Efficiency:

  • Monitor logistics expenses and identify opportunities to reduce unnecessary costs.
  • Improve routing, scheduling, vehicle utilization, and delivery processes.
  • Ensure company logistics resources are used efficiently and responsibly.

Compliance & Safety:

  • Ensure vehicles, drivers, and logistics activities comply with applicable safety and regulatory requirements.
  • Monitor vehicle and driver documentation, including licences, insurance, roadworthiness, and other relevant records.
  • Promote safe handling, transportation, and storage of company materials and equipment.

General Operations Support

  • Provide logistics support for client sites, projects, events, procurement activities, and other operational requirements.
  • Respond promptly to urgent logistics needs and operational challenges.
  • Perform other logistics and operational duties assigned by management.

Key Performance Indicators (KPIs)

  • Timely and successful delivery of materials and equipment.
  • Efficient vehicle and resource utilization.
  • Reduction and control of logistics costs.
  • Accurate logistics and inventory documentation.
  • Vehicle availability and maintenance compliance.
  • Minimal delivery delays, losses, damages, and operational disruptions.
  • Effective supervision and productivity of logistics personnel.

Requirements

  • Bachelor's Degree/HND in Logistics, Supply Chain Management, Business Administration, Transport Management, or a related field.
  • 4 - 6years' relevant experience in logistics, transportation, fleet, or operations management.
  • Strong knowledge of logistics coordination, fleet management, inventory movement, and delivery operations.
  • Good planning, problem-solving, negotiation, and organizational skills.
  • Ability to manage multiple deliveries, personnel, and operational priorities simultaneously.
  • Proficiency in Microsoft Office and logistics/record-keeping tools.
  • Strong communication, leadership, and reporting skills.

Main Duties and Responsibilities Operating the movements, tracking and follow up of MSF Vehicles, based on the validated chain avoiding using any sensitive or security related information and following the MSF security rules. Ensures radio frequencies' (HF and VHF) quality and transmission capacity. Good Knowledge of how to Installs and programs frequencies in all type of radios when necessary. Ensuring that messages are well copied/passed to all people concerned and records the messages on the radio logbook. Responding to radio contacts from other approved organizations and forwarding it on the information via this channel. Making radio contacts with reference bases (capital and/or field) according to communication rules / schedules and forwards all information concerning the security of the teams to the Project/Capital Coordinator. Monitoring and registering any movement, of people, vehicles, helicopters, airplanes and cargo, (departure, arrival, number of passengers, route taken, standard contact points), informs the PC and logistic manager if any delays. Seeks and sees to it that the validation process for movement is respected for any extraordinary / unplanned movement validation. Maintaining the equipment, communications room and premises in clean and tidy conditions. Maintaining and supervising HF VHF batteries status in good maintenance conditions. Providing basic radio training when necessary to MSF staff. Supervise and support staff/users of technical equipment (VHF, HF, Whatsapps, etc.). Monitor all vehicle movements using the organization's tracking system and during "kiss movements." Coordinate closely with the HR team for airport and other official movements to prevent communication gaps Give priority to medical needs, especially for patient referrals. Ensure compliance with the weekly movement schedule and support the rationalization of all movements.
