We are looking to engage a competent individual who will serve as the Legal Administrative & Operations Support Officer, to provide administrative, coordination and operational support to the Legal function. The role is suited to a highly organised, proactive and dependable administrator with excellent attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Manage the Department's calendar, meetings, appointments and action trackers.
- Maintain and update the Department's physical and electronic filing systems and ensure easy retrieval of documents.
- Maintain and update the contracts register of contracts including execution, expiry, renewal and other key dates.
- Maintain and update the litigation/dispute trackers including court dates, deadlines, external counsel updates and legal fees.
- Track statutory, regulatory and other Department tasks, deadlines, filings and deliverables.
- Support contract administration processes, including document circulation, execution tracking and record maintenance.
- Assist with legal research, data gathering and preparation of routine reports, presentations and correspondence as assigned.
- Coordinate engagements with external counsel, consultants and service providers, including processing and tracking invoices and supporting documentation.
- Schedule and coordinate departmental meetings and maintain records of key action items where required.
- Coordinate departmental events including retreats, workshops and other team activities including logistics and vendor management.
- Assist with preparing presentations, reports and other materials required by the Head, Legal & Company Secretary.
- Provide general administrative support to the members of the Department and assist with special projects as required.
- Manage departmental calendars, meeting schedules and logistical arrangements.
- Perform any other reasonable administrative or coordination duties assigned by the Head, Legal & Company Secretary from time to time.
- Bachelor's degree in Law, Business Administration, or a related field.
- Minimum of 3 years' experience in legal administration or a similar role.
- Excellent organizational, communication and follow-up skills.
- Ability to handle multiple tasks and prioritize effectively.
- High level of discretion and ability to handle confidential information.
- Proficient computer skills, including in the use of Microsoft Office applications, Document management systems, report writing and analysis.
- Proactive, resourceful and able to work independently with minimal supervision.
