Duties and Responsibilities:
Financial Operations & Reporting
- Coordinate day-to-day financial transactions and maintain complete, accurate, and up-to-date financial records.
- Support preparation of periodic financial statements, management reports, and other financial summaries.
- Reconcile accounts and financial records, investigate discrepancies, and follow through on resolution.
- Monitor cash flow, expenditure, and budget utilization, escalating material variances or emerging issues.
- Coordinate payment documentation and approvals in line with established procedures.
Budgeting & Financial Analysis
- Support the preparation, monitoring, and review of departmental and organizational budgets.
- Compile and analyze financial data to identify trends, variances, risks, and opportunities for cost efficiency.
- Prepare budget-versus-actual reports and provide clear explanations of significant variances.
- Provide timely and accurate financial information to support planning and management decision-making.
Compliance & Internal Controls
- Apply internal financial policies, procedures, and approval controls consistently.
- Maintain organized supporting documentation and audit trails for financial transactions.
- Support internal and external audit processes by preparing requested schedules and documentation.
- Identify potential control gaps, irregularities, or compliance concerns and escalate them appropriately.
- Handle financial and organizational information with confidentiality and integrity.
Stakeholder & Process Coordination
- Coordinate with relevant internal teams and external parties on invoices, payments, reconciliations, and financial queries.
- Communicate financial information clearly to colleagues and stakeholders who may not have a finance background.
- Track outstanding financial actions and follow up to support timely resolution.
- Identify opportunities to streamline, standardize, or automate finance processes and improve operational efficiency.
- Prioritize competing tasks and meet reporting and transaction deadlines while maintaining accuracy.
Qualifications, Experience & Attributes
- Bachelor's degree in Finance, Accounting, Business Administration, or a related discipline.
- Relevant experience in financial coordination, accounting, finance operations, or a similar role.
- Practical understanding of financial reporting, reconciliations, budgeting, and internal controls.
- Proficiency in Microsoft Excel and other Microsoft Office applications; familiarity with accounting or ERP systems is an advantage.
- Strong numerical, analytical, organizational, and problem-solving skills.
