Lindii Peace Foundation (LPF) is seeking a proactive, creative and detail-oriented Information and Communication Assistant to support the organization\'s information management, communication, documentation and visibility activities across its humanitarian and development programmes.

The Information and Communication Assistant will be responsible for supporting the collection, organization, verification and dissemination of programme information; preparing communication materials; documenting organizational activities; maintaining digital records; and assisting with the production of reports, photographs, human-interest stories and other communication products. The post holder will work closely with programme teams, the MEAL unit, field personnel and organizational management to ensure that information is accurate, timely, accessible and consistent with LPF\'s communication standards.

The successful candidate will support internal and external communication, maintain organized information repositories, assist with social media and digital content management, and contribute to the visibility of programme achievements while ensuring that beneficiary dignity, confidentiality, safeguarding and data protection requirements are respected.

This position requires strong writing and communication skills, basic digital content creation abilities, attention to detail and the ability to organize information effectively in a demanding humanitarian environment.

KEY RESPONSIBILITIES

Information Collection and Management

  • Collect, compile and organize programme information, activity updates, field reports, success stories and other relevant organizational information.
  • Support programme and field teams in obtaining accurate and timely information for internal communication, reporting and visibility purposes.
  • Verify information received from programme teams against available documentation and consult relevant personnel to clarify inconsistencies before dissemination.
  • Maintain organized electronic and physical filing systems for communication materials, programme photographs, reports, publications and other approved records.
  • Update organizational information databases, contact lists, activity trackers and communication records as required.
  • Ensure that information is properly labelled, dated, categorized and stored for easy retrieval by authorized personnel.
  • Support the preparation of information summaries, briefing notes and updates for management and programme teams.
  • Identify gaps in programme information and follow up with relevant personnel to obtain missing details.
  • Ensure that information shared internally is accurate, relevant, appropriately formatted and consistent with organizational requirements.
  • Protect confidential information and ensure that access to sensitive records is restricted to authorized personnel.

Communication Materials and Content Development

  • Assist in drafting, editing and formatting communication materials, including newsletters, programme updates, fact sheets, brochures, flyers and organizational profiles.
  • Prepare clear and engaging written content highlighting programme activities, achievements, community engagement and organizational impact.
  • Support the development of human-interest stories, case studies, beneficiary stories and other approved content demonstrating programme outcomes.
  • Edit written materials for grammar, clarity, consistency, accuracy and adherence to LPF\'s communication standards.
  • Assist in preparing presentations, briefing documents, talking points and information materials for meetings, workshops and stakeholder engagements.
  • Support the development of simple visual communication materials using appropriate design tools and approved organizational templates.
  • Ensure that communication products accurately reflect programme activities and do not exaggerate achievements or make unsupported claims.
  • Work with programme teams to obtain the necessary facts, figures, approvals and supporting evidence before finalizing communication materials.
  • Ensure that all communication products use appropriate language and respect the dignity, privacy and cultural context of affected populations.
  • Maintain a repository of approved communication materials for future reference and reuse.

Photography, Video and Activity Documentation

  • Support the documentation of approved programme activities, trainings, workshops, distributions, community engagements and other organizational events.
  • Take photographs and record short videos of programme activities when assigned and appropriately authorized.
  • Ensure that photographs and videos accurately represent programme activities and comply with organizational safeguarding, consent and data protection requirements.
  • Obtain or confirm appropriate informed consent before collecting or using identifiable photographs, interviews, testimonies or other personal information.
  • Maintain organized photographic and video archives with relevant dates, locations, activity descriptions and other approved metadata.
  • Assist in preparing captions, short descriptions and summaries to accompany approved photographs and videos.
  • Support the collection of human-interest stories and testimonies in a respectful, voluntary and non-exploitative manner.
  • Coordinate with programme personnel to verify the accuracy and context of documented activities before publication.
  • Ensure that sensitive images and materials involving children, survivors of abuse or other at-risk individuals are handled in accordance with applicable safeguarding procedures.
  • Support the preparation of approved multimedia materials for reports, presentations, organizational platforms and donor visibility products.

Digital Communication and Social Media Support

  • Assist in updating LPF\'s approved digital communication platforms, including its website and social media accounts, as assigned.
  • Draft and prepare posts, captions, announcements and programme updates for review and approval by the designated supervisor.
  • Support the scheduling and publication of approved content in accordance with the organization\'s communication calendar.
  • Ensure that published information is accurate, professionally presented and consistent with LPF\'s identity, values and communication guidelines.
  • Monitor basic engagement indicators, including post reach, impressions, interactions and audience responses, where platform analytics are available.
  • Maintain records of published content, publication dates, platform links and engagement statistics.
  • Identify opportunities to improve the accessibility, clarity and reach of digital communication materials.
  • Refer media enquiries, sensitive public comments, complaints and requests for official statements to the designated supervisor.
  • Avoid publishing organizational statements, photographs, programme information or beneficiary details without the required authorization.
  • Support the review of digital content to identify outdated information, broken links and materials requiring correction or updating.

Programme Visibility and Donor Communication Support

  • Support the preparation of visibility materials in accordance with approved donor agreements, branding requirements and organizational guidelines.
  • Assist in documenting programme activities and results for donor reports, presentations, newsletters and other approved communication products.
  • Ensure that donor names, logos, acknowledgements and visibility statements are used accurately and only as authorized.
  • Coordinate with programme teams to obtain approved activity figures, implementation updates and supporting evidence for communication purposes.
  • Assist in preparing communication materials for donor visits, monitoring missions, programme launches, handover events and other official engagements.
  • Maintain records of visibility activities and communication materials produced under relevant projects.
  • Support the collection of approved programme success stories and lessons learned that demonstrate results and community impact.
  • Ensure that donor visibility requirements do not compromise beneficiary safety, dignity, confidentiality or organizational safeguarding obligations.
  • Refer proposed publications and materials requiring donor or management approval through the established review process.

Internal Communication and Administrative Support

  • Assist in preparing and circulating approved internal announcements, meeting notices, information updates and other staff communications.
  • Support the preparation of meeting agendas, presentations, minutes and action-point summaries when assigned.
  • Maintain organized records of communication requests, completed assignments and pending approvals.
  • Support the circulation of approved organizational policies, guidance documents, programme updates and relevant information to designated personnel.
  • Assist in coordinating communication arrangements for workshops, trainings, meetings and organizational events.
  • Follow up with relevant departments to obtain information required for scheduled communications and reporting deadlines.
  • Ensure that internal communication materials are clear, professional, timely and appropriate for their intended audiences.
  • Support the maintenance of organizational contact directories and authorized distribution lists.
  • Assist with the formatting, proofreading and distribution of approved documents.
  • Perform related administrative and communication support duties as assigned by the supervisor.

Information Quality, Records and Data Protection

  • Ensure that information collected and disseminated is accurate, complete, consistent and supported by appropriate source documentation.
  • Apply established procedures for document naming, version control, filing, archiving and retrieval.
  • Check communication materials for errors, inconsistencies, outdated figures and inappropriate disclosures before submitting them for approval.
  • Ensure that personal information, photographs, testimonies and sensitive programme records are handled in accordance with LPF\'s data protection procedures.
  • Store digital files in approved organizational systems and maintain appropriate access restrictions.
  • Avoid sharing confidential documents or sensitive information through unauthorized communication channels.
  • Report suspected information breaches, unauthorized disclosures, inaccurate publications or loss of organizational records promptly.
  • Ensure that published content has the necessary internal approvals and, where applicable, donor authorization.
  • Support the periodic review and updating of communication records and information repositories.
  • Maintain professional discretion when handling information relating to staff, beneficiaries, partners and organizational operations.

Coordination and Team Support

  • Work closely with programme teams, the MEAL unit, field personnel and organizational management to collect and communicate accurate programme information.
  • Coordinate with relevant personnel to document programme activities and verify information before publication.
  • Participate in programme meetings, communication planning sessions and other relevant coordination activities when required.
  • Provide timely updates on assigned communication tasks, outstanding information requests and pending approvals.
  • Support the preparation of communication products that reflect programme achievements and organizational priorities.
  • Maintain professional relationships with colleagues, community representatives and other stakeholders encountered during assigned activities.
  • Coordinate field documentation activities in accordance with approved work plans, security arrangements and safeguarding procedures.
  • Share relevant communication feedback and suggestions to improve the quality and consistency of organizational information.

Compliance, Safeguarding and Professional Development

  • Comply with LPF policies, procedures, Code of Conduct and approved communication and branding guidelines.
  • Ensure that photographs, videos, interviews and personal stories are collected and used ethically and with appropriate authorization.
  • Uphold safeguarding principles and report suspected sexual exploitation and abuse (SEA), harassment, fraud, corruption or other serious misconduct through established reporting mechanisms.
  • Avoid disclosing sensitive information that could expose beneficiaries, staff or communities to harm, stigma, discrimination or security risks.
  • Maintain accuracy, impartiality and professional integrity in all information and communication activities.
  • Participate in relevant training on communication, digital content creation, safeguarding, data protection and information management.
  • Identify opportunities to improve communication workflows, content quality and information-sharing practices.
  • Use organizational equipment, communication platforms and digital resources responsibly.
  • Perform other information and communication duties assigned by the supervisor, consistent with the position\'s responsibilities.

KEY DELIVERABLES

Minimum Qualifications

  • National Diploma (ND), Higher National Diploma (HND) or Bachelor\'s degree in Mass Communication, Journalism, Public Relations, English, Media Studies, Information Management or another relevant discipline.
  • Minimum of two (2) years of relevant experience in communication, information management, content development, media support or a related role.
  • Demonstrated ability to write, edit and format clear professional documents and communication materials.
  • Experience collecting, organizing and maintaining information, photographs, reports and other digital records.
  • Basic experience with social media content preparation, digital communication platforms or website content management.
  • Proficiency in Microsoft Office applications, particularly Word and PowerPoint, with working knowledge of Excel.
  • Familiarity with basic graphic design or multimedia tools, such as Canva or equivalent applications, is an advantage.
  • Strong written and verbal communication skills, with good attention to grammar, detail and accuracy.
  • Ability to manage multiple assignments, meet deadlines and follow instructions.
  • Good interpersonal skills and the ability to work effectively with multidisciplinary teams.
  • Demonstrated integrity, discretion and commitment to confidentiality and ethical communication.

Desirable Experience

  • Experience working with NGOs, INGOs or donor-funded humanitarian and development programmes.
  • Experience documenting field activities, community engagements, trainings, workshops and programme achievements.
  • Familiarity with donor visibility requirements and organizational branding guidelines.
  • Experience preparing human-interest stories, case studies, newsletters and social media content.
  • Basic photography, video recording, image editing or graphic design skills.
  • Familiarity with website content management systems and digital analytics tools.
  • Experience supporting communication activities in emergency-response or resource-constrained environments.
  • Knowledge of local languages relevant to LPF\'s operational areas in Borno State.
