Job Summary

  • The Estate Accountant will be responsible for managing and maintaining the financial records and accounting operations of the residential estate.
  • The role will ensure accurate recording of estate income and expenditure, effective monitoring of service charge collections, timely payments to approved vendors, proper reconciliation of accounts, and preparation of periodic financial reports.
  • The successful candidate will work closely with the Estate Management, Operations, Procurement, and Finance teams to ensure financial controls, policies, and reporting requirements are consistently adhered to at the estate.

Key Responsibilities

Estate Accounting & Financial Management:

  • Maintain accurate and up-to-date accounting records for the estate.
  • Record and monitor all estate-related income, expenses, payments, and transactions.
  • Prepare and maintain estate financial schedules and supporting documentation.
  • Ensure all financial transactions are properly authorized and supported with relevant documentation.
  • Monitor estate operating expenses against approved budgets.
  • Support the preparation and monitoring of the estate's annual budget and periodic forecasts.
  • Ensure compliance with company accounting policies, procedures, and internal controls.

Service Charge & Revenue Management:

  • Maintain accurate records of service charge billings and collections.
  • Monitor outstanding service charge balances and prepare regular collection reports.
  • Reconcile service charge receipts with bank statements and estate records.
  • Follow up with relevant teams on outstanding balances and support collection efforts.
  • Prepare statements and other financial information required by residents or estate management.
  • Ensure all estate revenue is accurately captured and properly accounted for.

Cash & Bank Management:

  • Maintain proper records of estate cash transactions and petty cash.
  • Monitor and reconcile the estate's bank account and other approved payment channels.
  • Prepare periodic bank and cash reconciliations.
  • Ensure all cash collections are properly documented and promptly deposited in accordance with company policy.
  • Monitor cash requirements and escalate any unusual or significant variances.

Financial Reporting:

  • Prepare monthly, quarterly, and other periodic estate financial reports.
  • Provide reports on income, expenditure, collections, outstanding receivables, payables, and budget performance.
  • Prepare variance analysis and highlight significant deviations from approved budgets.
  • Provide financial information and analysis to support estate management decision-making.
  • Maintain proper documentation and schedules for audit purposes.

Compliance & Internal Controls:

  • Ensure adherence to company financial policies, accounting standards, and statutory requirements.
  • Maintain proper filing and documentation of all estate financial transactions.
  • Support internal and external audit activities by providing requested records and explanations.
  • Identify financial control gaps and recommend appropriate corrective actions.
  • Ensure segregation of duties and approval limits are properly observed.

Estate Operations Support:

  • Work closely with the Estate Manager and Operations team to understand the financial implications of estate activities.
  • Review financial aspects of maintenance, utilities, security, cleaning, landscaping, and other estate services.
  • Monitor utility expenses and other recurring estate costs.
  • Support financial analysis for estate projects, repairs, maintenance, and operational initiatives.
  • Participate in estate meetings where financial input is required.

Qualifications & Experience

  • Bachelor's Degree in Accounting, Finance, Economics, or a related discipline.
  • Professional accounting qualification such as ICAN, ACCA, or equivalent is required.
  • Minimum of 3 years of relevant accounting experience, preferably within property management, facility management, real estate orsimilar service-based environment.
  • Experience managing accounting activities within a residential estate or property environment will be an advantage.
  • Practical knowledge of accounts payable, receivables, reconciliations, budgeting, and financial reporting.
  • Experience with accounting software / ERP systems is required.

Experience: 3 - 5 years of progressive accounting experience, with at least 2 years in real estate, property development, or construction sectors. Technical Skills: Advanced proficiency in Microsoft Excel and specialized accounting software (e.g., QuickBooks, Zoho Books, or real estate ERPs). Strong working knowledge of tax laws and financial compliance standards. Key Competencies: High attention to detail, strong analytical capabilities, and excellent verbal/written communication skills.
