1. Job Purpose
The Distribution Officer is responsible for coordinating and monitoring the distribution of finished food products from KAARO FOODS to distributors, wholesalers, retailers, and other customers. The role ensures timely and accurate deliveries, proper handling of food products, efficient utilization of transport resources, and maintenance of high customer service standards while minimizing distribution costs and product losses.
2. Key Duties and Responsibilities
Distribution Planning: Develop daily and weekly distribution schedules in coordination with the sales, warehouse, and transport teams to ensure timely delivery of products.
Order Processing: Receive, verify, and coordinate customer orders and ensure that products are prepared and dispatched according to approved orders and delivery schedules.
Delivery Coordination: Arrange product deliveries to distributors, wholesalers, retailers, supermarkets, and other customers within the assigned areas.
Transport Management: Coordinate with drivers, transporters, and fleet personnel to ensure efficient vehicle allocation, route planning, and timely deliveries.
Stock Coordination: Work closely with warehouse personnel to confirm product availability, verify quantities, and ensure accurate loading and dispatch of finished goods.
Product Handling: Ensure food products are handled, loaded, transported, and delivered in accordance with company procedures, product specifications, and applicable food safety requirements.
Documentation: Prepare and maintain delivery notes, dispatch records, proof of delivery, customer receipts, and other distribution documents.
Delivery Monitoring: Track deliveries, follow up on delayed shipments, resolve delivery challenges, and provide regular updates to relevant departments.
Customer Service: Liaise with customers to confirm delivery schedules, address delivery-related complaints, and ensure customer satisfaction.
Returns Management: Coordinate the return of damaged, expired, rejected, or incorrectly delivered products and ensure that all returns are properly documented and reported.
Distribution Cost Control: Monitor transport and delivery expenses, identify inefficiencies, and recommend measures to reduce distribution costs.
Sales Coordination: Work with the sales team to support product availability, market coverage, promotional activities, and timely replenishment of customer stocks.
Reporting: Prepare daily, weekly, and monthly distribution reports covering deliveries completed, pending orders, returns, delivery performance, and product losses.
Compliance: Ensure compliance with company policies, road transport regulations, food safety requirements, and established distribution procedures.
Continuous Improvement: Identify opportunities to improve delivery efficiency, route utilization, customer service, and distribution processes.
