Job Summary

  • We are seeking a reliable, organised, and proactive Admin Officer to support the smooth and efficient operation of our administrative functions.
  • The successful candidate will coordinate office facilities, supplies, vendor relationships, administrative procurement, records, and general workplace support.
  • The role requires someone who can work independently, follow through on assigned tasks, maintain accurate documentation, and ensure that administrative issues are resolved promptly.

Key Responsibilities

  • Coordinate the day-to-day administrative operations of the office to ensure a clean, functional, organised, and productive work environment.
  • Monitor office facilities, including power supply, internet connectivity, air conditioning, furniture, water, and other workplace infrastructure, and promptly escalate faults.
  • Liaise with approved vendors, technicians, landlords, and service providers to coordinate maintenance, repairs, and other administrative services.
  • Obtain quotations, compare vendor proposals, and prepare purchase requests in line with approved company procedures.
  • Track administrative purchases from request to delivery and ensure that supporting documentation is complete.
  • Monitor office supplies and consumables, including stationery, cleaning materials, pantry items, and other administrative resources.
  • Maintain accurate stock records and initiate replenishment requests before essential supplies run out.
  • Support the maintenance of office assets, equipment records, and administrative inventory.
  • Verify delivered items, service completion, invoices, quotations, and other supporting documents before submitting them for payment processing.
  • Maintain organised physical and electronic records of administrative activities, vendor transactions, maintenance, procurement, and office supplies.
  • Coordinate administrative arrangements for meetings, training sessions, company events, and other workplace activities.
  • Support travel, accommodation, transportation, and other approved logistical arrangements when required.
  • Respond to routine administrative enquiries from employees and escalate matters requiring management intervention.
  • Maintain an administrative task tracker and follow up on outstanding requests to ensure timely completion.
  • Prepare periodic reports on administrative activities, facilities, supplies, vendor performance, and pending issues.
  • Identify recurring administrative challenges and recommend practical improvements.
  • Ensure compliance with approved administrative policies, procedures, and internal controls.
  • Perform other administrative duties assigned by the reporting manager.

Requirements

  • B.Sc. or HND in Business Administration, Public Administration, Management, or a related diascipline.
  • 2 - 3 years of relevant experience in office administration, facilities administration, operations support, or a similar role.
  • Experience coordinating vendors, office supplies, maintenance, procurement support, and administrative records.
  • Proficiency in Microsoft Office, particularly Excel and Word. Experience with Google Workspace is an advantage.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to maintain accurate records and handle confidential information.
  • Ability to work independently, prioritise competing tasks, and meet deadlines.
  • Strong attention to detail, follow-through, and problem-solving ability.
  • High level of integrity, accountability, and professionalism.
