We are seeking a highly organized, proactive, and detail-oriented Admin, Fleet & Facilities Officer to support the smooth and efficient operation of our real estate business.
The successful candidate will be responsible for coordinating day-to-day administrative activities, managing the company's vehicle fleet, and ensuring that office, residential, and other company facilities are properly maintained, safe, functional, and cost-effective.
The role requires strong organizational and communication skills, sound administrative judgment, good vendor management abilities, and the capacity to coordinate multiple operational activities simultaneously.
RESPONSIBILITIES
Manage day-to-day administrative and office support activities, including records, supplies, assets, and logistics.
Coordinate the management, maintenance, servicing, documentation, and utilisation of company vehicles.
Monitor fuel consumption, vehicle usage, repairs, and driver compliance.
Oversee the maintenance, cleanliness, safety, security, and general functionality of company facilities and properties.
Coordinate contractors, vendors, repairs, maintenance services, and utility providers.
Monitor facility and fleet-related expenses, review invoices, and support cost-control initiatives.
Maintain accurate records of fleet, facilities, vendors, maintenance activities, and administrative operations.
Conduct routine inspections and promptly escalate maintenance, safety, security, or operational issues.
Prepare periodic reports on administrative, fleet, and facilities activities.
Ensure compliance with company policies, procedures, and applicable regulatory requirements.
QUALIFICATIONS AND REQUIREMENTS
Bachelor's degree or HND in Business Administration, Estate Management, Facilities Management, Transport Management, Operations Management, or a related field.
5 years of relevant experience in administration, facilities, fleet, operations, or a similar role.
Experience within a real estate, property management, construction, hospitality, or corporate environment will be an advantage.
Demonstrable experience managing company vehicles, vendors, maintenance activities, and office/facility operations.
Good knowledge of administrative and facilities management practices.
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Strong record-keeping and reporting skills.
Good knowledge of health, safety, security, and basic facilities maintenance practices.
